Office Manager

The position
As our Office Manager, you are a real multi-tasker with great organizing, coordinating and supporting skills who is energetic and reliable and who performs well in a group of highly skilled professionals. You run an accurate administration and ensure that all supportive tasks in the office are structured efficiently, run smoothly and that people can rely on your support. You are our first point of contact for facility-related tasks including contact with the facilities management and overseeing our offices and laboratories. You welcome guests, process incoming and outgoing email and shipments. You provide administrative support to HR (liaise with HR service providers, onboarding, maintenance of employment contracts, time registration, upload monthly payroll, leave administration, insurances, pension) and liaise with a.o. WBSO with regards to subsidies. Together with Finance you check invoices and submit electronic VAT return every quarter. You organize online and in-person meetings with shareholders, Town Hall meetings and company events. You organize business travel and itineraries, including hotel arrangements. You arrange electronic signing and filing of documents. You ensure that all office supplies are well-stocked. You organize office furniture, maintenance and you liaise with our IT provider and keep Tagworks IT and online profile up-to-date (company website and LinkedIn page).

The requirements
We expect our Office Manager to keep a secretarial education / Office Management at HBO or Bachelor level. You bring 10+ years of experience in an international business setting, preferably in biotech/pharma. You have an excellent proficiency in Dutch and English, both spoken and in writing. You are experienced in working with Office 365 for business (Outlook, SharePoint, Teams, PowerPoint, Word, Excel etc.) and the applicable HR/Finance/Facility applications. Experience in a commercial lab-environment is very much welcomed.
